Candidates and Contractors


We gather the necessary information to identify job opportunities and verify your eligibility for work.

 This information may be utilised throughout various stages of recruitment, from initial contact to screening, interviews, and final placement.

Typically, this includes:


        •       Your name and contact information (phone number, email address, etc.)
        •       Date of birth
        •       Work and educational history (CV)
        •       Proof of identity (residential address, national insurance number, passport, etc.
        •       Employer references
        •       Bank details (for payment purposes)

        •       Recent Photo


In some cases, we may also require additional information such as proof of eligibility to work in the UK (e.g., immigration status, nationality, DBS, contact details for references, and information from employers we work with.
Sensitive data, such as personal medical information, may also be collected but only with your consent.

Clients


We collect contact details including names, job titles, telephone numbers, and email addresses to inform you about potential candidates. Our contracts with you typically include contact details of key parties involved.

Suppliers


We gather your contact details—names, job titles, telephone numbers, and email addresses—to facilitate communication regarding the services you provide. We also retain financial information to ensure timely payments.


Where do we collect personal data about you from?


We may collect personal data from various sources:


        •       Directly from you as a candidate or client during your search for employment or throughout the recruitment process.
        •       From an agent or third party acting on your behalf
        •       From publicly available sources where you have shared your information, such as:
        •       LinkedIn
        •       Job boards


Additionally, referrals from friends or colleagues may lead us to candidates. When using publicly available sources, we may employ job board publishers’ search tools to identify candidates that meet specific criteria based on skills, location, role sought, etc. By publishing their own data on public sites, candidates indicate a reasonable expectation that their information may be collected by recruiters for employment purposes.

How do we utilise your personal infomation?


Candidates:

We utilise your personal data to align your skills and experience with potential employers’ requirements. We collect basic information such as contact details and job eligibility before sharing it with relevant clients. If selected for further consideration, additional information will be gathered during interviews or equivalent stages. We also have legal obligations to share certain information for tax purposes as required by law.


To assist in your job search, we may provide job recommendations or relevant updates through electronic communication or phone calls.

Clients:


We collect contact details to inform you about potential candidates available for your roles. Our contracts include contact details of key parties involved in the agreement.

How long do we hold your personal data for?


We retain your information according to Data Protection standards:

Candidate Data:
        •       Up to 2 years from our last interaction
        •       7 years from the end of the tax year for Income Tax, pension, and VAT record verification against payroll

Contractor Data: 7 years from the end of each tax year as required by law governing payroll and VAT records retention.


In certain cases dictated by legal requirements or contractual obligations (e.g., specific regulatory roles), we may need to retain your data for longer than 7 years.


Client Contact Details: We retain these for 7 years following our last interaction with you to continue providing contract and interim candidates/contractors

With whom do we share your personal information?


Candidates: We share your personal information with:
        •       The client looking to fill a position.
        •       External partners as required by clients for background checks (e.g., referees).
        •       Regulatory authorities or statutory bodies upon official request or legal obligation (e.g., HMRC).
        •       Third parties processing data on our behalf including but not limited to CRM, candidate registeration portals, IT services.

What legal grounds do we have for utilising your data?


For candidates undergoing interviews requiring sensitive data processing (e.g., medical records), we will always seek consent before proceeding.

For clients: Our processing may also be necessary for contract performance purposes.


What happens if you do not supply the requested information or ask us to cease processing your data?


Candidates: If you do not provide necessary personal data or withdraw consent for processing, we may be unable to match you with available job opportunities.


Do we transfer your data outside the EEA?


No, we do not transfer personal data outside the EEA.


What rights do you possess regarding the data we maintain about you?
